Who we are

Pulse Media Agency (“Pulse Media Agency”, “we”, “us”) provides local SEO, AI search visibility, websites and automation to service businesses. We are based in Toronto, Ontario, Canada and work with businesses across Canada.

This policy explains what personal information we collect, why we collect it, who we share it with and what you can do about it. It applies to this website and to the services we provide to our clients.

Information we collect

We collect only what we need in order to answer you and to deliver our services.

Information you give us

  • Your name, email address, phone number and the answers you give when you book a call through the calendar on this site.
  • Your email address, and nothing else, when you request a free audit.
  • Anything you choose to tell us in our chat widget, on the phone or by email.
  • Business details you share with us while we are auditing or delivering work, such as your website, service area and the keywords you want to rank for.
  • If you apply for a role, whatever you include in your application email.

Information we collect automatically

  • Standard server and security logs, which may include your IP address, browser type and the pages you requested.
  • How you arrived at the site, such as the ad, post or link you clicked, recorded from campaign parameters in the link and kept in your browser.
  • Analytics and advertising measurement data, described under cookies, analytics and advertising below.

How we use information

  • To schedule your call, send reminders, run your audit and reply to you.
  • To provide the services you asked for and send messages about work in progress and billing.
  • To send marketing messages, but only where you have given consent, and you can withdraw that consent at any time.
  • To measure which of our own ads and posts lead to booked calls, so we spend less on the ones that do not.
  • To keep the site secure, prevent abuse and meet our legal obligations.

We do not sell personal information, and we do not rent or trade it.

Text messaging

If you give us your mobile number and agree to receive text messages, we may send you messages about your appointment, your enquiry, your account and, where you have opted in to it, occasional offers.

  • Consent. Consent is collected at the point your phone number is provided, in the booking calendar or in our chat widget. Consent to receive marketing messages is never a condition of purchase.
  • Message frequency. Message frequency varies. You should expect no more than a handful of messages a month, and typically fewer.
  • Cost. Message and data rates may apply. Your mobile carrier, not us, sets those rates.
  • Opting out. Reply STOP to any message to stop receiving texts from us. You will receive one confirmation and then no further messages.
  • Help. Reply HELP to any message for help, or contact us on 905 466 2458 or colin@pulsemediaagency.ca.
  • Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Who we share information with

We share personal information with service providers who process it on our behalf, and only so far as they need it to do their job for us. They are contractually required to protect it and are not permitted to use it for their own purposes, except where noted below for analytics and advertising platforms.

  • HighLevel Inc. (GoHighLevel) and LeadConnector, which provide our booking calendar, customer relationship management, chat widget and messaging infrastructure.
  • Resend, which delivers the email to us when you request a free audit.
  • Google (Google Analytics) and Meta (the Meta Pixel and Conversions API), which receive the measurement data described below.
  • Hosting and infrastructure providers, which serve the site and its data.

We may also disclose information where we are required to by law, or where it is necessary to establish or defend a legal claim.

Mobile information and text messaging consent are not shared with any of these providers, or with anyone else, for marketing or promotional purposes under any circumstances.

Cookies, analytics and advertising

This site stores your light or dark theme preference, and how you first arrived at the site, in your browser. That information stays on your device unless you book a call or request an audit, in which case where you came from is sent to us with your request.

We use Google Analytics to understand how the site is used. We use the Meta Pixel and the Meta Conversions API to measure whether our Facebook and Instagram ads lead to booked calls. These tools set cookies and send Google and Meta details such as the pages you view, your IP address and browser, the ad or link that brought you here, and whether you booked a call or requested an audit. We do not send them your name, email address or phone number. Google and Meta may use this data under their own privacy policies, including to measure and improve advertising.

We also run LeadConnector tracking, which records which pages were viewed before an enquiry so we can tell which of our own marketing is working. The chat widget sets its own cookies so a conversation can continue across pages.

You can block or delete cookies in your browser settings, and you can manage ad preferences in your Google and Meta account settings. The site works without cookies, although the chat widget may not remember an earlier conversation.

How long we keep information

We keep enquiry and booking records for as long as needed to answer you and for a reasonable period afterwards, and client records for the life of the engagement plus the period our tax and legal obligations require. Text messaging consent records are kept for as long as we hold your number, and for a period afterwards as evidence that consent existed. When information is no longer needed, we delete it or anonymise it.

Your rights

Under Canadian privacy law (PIPEDA) and comparable laws elsewhere, you can ask us to:

  • Tell you what personal information we hold about you and why.
  • Correct information that is wrong or out of date.
  • Delete information we no longer have a reason to keep.
  • Withdraw consent, including consent to receive marketing or text messages.

Email colin@pulsemediaagency.ca and we will respond within thirty days. If you are not satisfied with our answer, you may complain to the Office of the Privacy Commissioner of Canada.

Security

We use encrypted connections, access controls and reputable providers, and we limit access to personal information to the people who need it. No system is perfect, and we will not pretend otherwise. If a breach affects you, we will tell you and the relevant regulator as the law requires.

Children

Our services are for businesses. We do not knowingly collect personal information from anyone under sixteen. If you believe we have, contact us and we will delete it.

Changes to this policy

If we change this policy we will update the date at the top of the page. Material changes to how we handle text messaging consent will be communicated directly to affected subscribers.
